A shot list is only useful on the day if it's fast to work from mid-shoot. Once a wedding has one, the day-of view on your phone is built for exactly that: tap a grouping as you capture it and move on, without opening the full editor or hunting for where you left off.
Checking off shots as you go
Open the wedding on your phone during the day and select Shots. The top of the screen shows the list's title and a running count ("X of Y captured"), so you can see at a glance how far through the list you are without scrolling it end to end. The list follows in the same order and with the same numbers as the couple's shot list and the PDF: Wedding Party, each side's family and Other, with a count beside each section. Each grouping is a single tap to mark captured. If the list was generated in Separate formals mode, the sections are split into Before the Ceremony and After the Ceremony bands, matching how you'd actually be working through them. On your phone, tap Before the Ceremony or After the Ceremony to collapse it, and tap it again to expand it.
The day-of view shows people the way your team document does. By default that's first names only, with a last name when two people on the list share a first name. To see full names or roles on your phone, turn them on under Shot list in the Internal team document's settings on the Share page. Shot numbers there shows or hides the numbers. When the wedding has no separate Internal team document on the Share page, the day-of view follows the couple's settings, which you change by selecting Shot List there.
Tapping a grouping is optimistic: it marks captured on your screen immediately rather than waiting on a round trip, so the list stays responsive even mid-shoot. If your connection drops for a moment, taps are held and sent once you're back online rather than lost; you don't need to notice or do anything differently. Tap a captured grouping again to undo it if you tapped the wrong one. If a grouping you tap was removed on another device in the meantime, Daymarked tells you, and that check-off isn't saved.
Editing the list keeps your check-offs. Rename a grouping, change who's in it or move it, on your phone or on a computer, and it stays checked; delete one and its check-off goes with it; a new grouping starts unchecked. That holds when you edit on a computer while a second shooter checks off shots on their phone, too. Changes made on another device show when you come back to the app. If two devices change the list at the same time, both sets of changes are kept: a grouping someone else edited or checked off stays even if you deleted it without knowing, and Daymarked tells you when that happens. On a computer, deleting a grouping that was checked off asks you first. Regenerate is the exception: it replaces the whole list and clears every check-off, which is why it asks you to confirm first. If the list changed on another device since you opened it, Regenerate tells you how many check-offs it will clear now and asks again.
Creating a shot list on your phone
If the wedding has no shot list yet, select Create shot list on the Shots tab.
- If the wedding has no family or wedding party yet, the wedding's details open on Family & Wedding Party so you can add them first.
- If your studio has no shot list template yet, select Use Standard formals to start with the standard one. You can customize templates later on a computer, under Shot Lists.
- Choose a template if your studio has more than one, turn on Separate formals if the couple isn't doing a first look, and select Generate shot list.
If someone created the list on another device in the meantime, your phone shows that list instead of creating a second one.
Editing the shot list on your phone
On the Shots tab, select Edit at the top right of the list. The list's title becomes a field you can rename, and every grouping becomes a button. Select Done, in the same place, to go back to checking off.
- Change a grouping: select it to change its title and people, or, on a list split into Before and After the Ceremony, to move it to the other one (groupings in Other can't be moved between them). Add people lists the couple, the wedding party and each family; type a name that isn't there to add it. If someone is missing, Missing someone? opens Family & Wedding Party. Select Done to save.
- Add a grouping: select the + at the end of a section (the dashed row), or Add grouping after in a grouping to add one right below it. A new grouping you leave with no title and no people isn't added. If you delete every grouping, the Shots tab says No groupings yet; select Edit to add new ones.
- Delete a grouping: select it, then Delete grouping.
- Change the order: touch and hold the handle at the left of a grouping, then drag it. Or select a grouping, then Move, and use Up and Down; select Done or tap anywhere else to finish. A grouping moves within its own section, and within Before or After the Ceremony. If you leave the app while moving a grouping, the new order is kept.
- Regenerate: builds the list again from a template. It replaces the whole list, including your edits, and clears every check-off, so it shows how many shots are checked off before you confirm.
Editing needs a connection. If you go offline in Edit mode, the controls turn off until you reconnect; checking off still works offline. Template changes stay on a computer, under Shot Lists.
What the couple sees
The couple (or anyone else you've shared the shot list with) sees a read-only version of the same list: no check marks, no tap-to-capture, only the formal photo list itself. It's a document grouped into Wedding Party, each side's family, and anything else, numbered unless you turn shot numbers off, with pills at the top to filter down to one section at a time. It's the same list you're working from, presented for reference rather than for anyone else to mark up.
Guests with an account see it as a tab alongside their timeline. To hand the shot list to someone without giving them full access to the wedding (a day-of coordinator, or a parent helping wrangle family for photos), use its own shareable link, separate from the couple's timeline link, which shows the same read-only list.
To change how the list reads, open the Share page and select Shot List. Under Header, choose what the top of the shot list's link and PDF shows: Cover header (the couple's names, the date and your logo), Contacts, Crew / team and Vendors. Turning off Cover header removes the whole header, contacts and teams included. Until you change one of the four, they match the timeline's settings, and a change to the timeline's header shows on the shot list too. Once you change one, the shot list keeps its own. Below them, choose First names or Full names, and turn Show roles, Shot numbers and Print checkboxes on or off. Print checkboxes appear on the PDF and when someone prints the link, not on screen. The shot list at the end of the couple's timeline link uses the same name, role, number and checkbox settings, under the timeline's own header.
