Every wedding has a florist, a DJ, maybe a coordinator and a second shooter, and most of them show up on more than one of your weddings. The vendor database is a company-wide list of these contacts, so you enter a phone number and an Instagram handle once and reuse it on every wedding that vendor works.
Your company's vendor database
The Vendors page holds two kinds of entries. Vendors are businesses (a florist, DJ, band, videographer, planner, caterer, and the rest of the usual wedding-day roster), each filed under a category so you can find them later. Second shooters are people, not businesses, and carry a contact name instead of a category.
Every entry can hold a phone, email, Instagram, website, city, and free-form notes. The notes field stays private to your company; it never appears on anything a couple or a vendor sees. Mark a vendor Preferred and it floats to the top of its list with a star, so your go-to florist is always the first result when you search. Tags are yours to define and filter by, whatever labels make sense for how you sort vendors.
Open any single vendor's page to see every wedding they've worked, split into Upcoming and Past: a running record of how often you've booked that DJ or worked with that second shooter.
Attaching vendors to a wedding
From a wedding's details, the Photography Team and Vendors lists each have a search box that queries your database directly. Start typing a name and matching records drop into a picker. Click one and the row fills in with that record's contact details already attached, with no retyping.
You can still type a new name instead of searching. Fill in a fresh row and, once you finish editing it, Daymarked offers to add it to your database, either linking it to an existing record it thinks matches or saving it as brand new. Decline and the row stays exactly as typed, unlinked to your database; a small gold dot marks any name that isn't in your database yet, as a reminder it's there if you want it.
A row linked to a database record stays linked. Edit the vendor's phone number once on the Vendors page, and every wedding that references them shows the update the next time you open it.
Where vendor details appear
On the day itself, your crew tab on mobile turns the wedding's crew and vendor lists into a tap-to-call, tap-to-text contact sheet for everyone on the list, useful when you need a coordinator's number without digging through your phone. On the wedding's detail view, the same lists are what you're editing when you search and link records.
Whether a couple sees any of it depends on you. The Crew / team and Vendors sections are both toggles in the share and PDF settings, on by default, and whichever way you've set them for a wedding is what shows up on the client's share link and client PDF as well. Turn a section off and that list stays internal. Either way, the private notes field on a database record never travels with it; that stays visible only inside your own vendor database.
